At The Tied Vows, protecting your information and earning your trust is just as important as creating meaningful imagery. This policy explains how we handle your personal information, images, and communication, in compliance with Canadian privacy legislation.

Information We Collect

When you book with The Tied Vows, we may collect:

• Contact details (name, email, phone number, address)

• Event details (date, time, location, schedules)

• Images, video, and audio recorded as part of your contracted services

• Payment and billing details for invoices and receipts

• Guest POV submissions (video clips uploaded by wedding guests). Guest emails provided for submission access are not retained and are deleted after delivery of the final video.

How We Use Your Information

Your information is used only to:

• Deliver photography and videography services you have requested

• Communicate about bookings, contracts, timelines, and galleries

• Create, edit, and deliver your images and videos

• Process payments and receipts

• Send calendar invitations for scheduled sessions (via Google Calendar)

• Improve client experience through analytics (anonymous, non-identifiable)

We never sell, trade, or share your personal information with third parties for marketing.

Media & Usage Consent

• Clients grant The Tied Vows permission to capture and edit photos and video as outlined in signed agreements.

• With your consent, selected images may be used in portfolios, advertising, or social media.

• Clients may opt out of marketing use at any time by providing written notice.

Data Retention

• Client galleries remain online for the delivery period stated in your contract (usually 3–6 months).

• Guest POV emails are deleted once the video compilation has been completed and delivered.

• Personal information is stored only as long as required to provide services or fulfill legal/tax obligations (maximum 7 years for invoices/financial records).

• After this period, personal data is securely deleted or anonymized.

Third-Party Services

We use trusted tools to deliver your services, including:

• Squarespace (website hosting)

• JotForm (booking forms and contracts)

• Adobe Lightroom (gallery delivery)

• Google Drive (backups and delivery)

• Google Calendar (session invitations and reminders)

Each of these providers maintains their own security and privacy standards. The Tied Vows limits access to your data to what is necessary for your service.

Safeguarding Your Information

• All files are stored securely using encrypted hard drives and password-protected platforms.

• Galleries are delivered through secure, client-only links.

• Access to client data is restricted to The Tied Vows team only.

• In the unlikely event of a data breach, affected clients will be notified promptly with steps taken to protect their information.

Complaints & Dispute Resolution

We are committed to resolving any concerns in a fair and timely manner.

• If you have a complaint, please contact thetiedvows@gmail.com in writing.

• We will acknowledge receipt within 5 business days and aim to resolve within 14 business days.

• If a resolution cannot be reached, mediation may be considered.

Your Rights

Under Canadian privacy law (PIPEDA), you have the right to:

• Access the personal information we hold about you

• Request corrections or updates

• Withdraw consent for use of your information (subject to contractual obligations)

• Request deletion of your data once services are complete
